Overview

The Executive Administrator will play a pivotal role in supporting the leadership team, administrative operations, and ensuring efficient integration of project management systems. This position requires a highly organized and proactive professional with strong technical, communication, and interpersonal skills. Responsibilities will span software integration, HR support, data management, and executive-level administrative functions.

Essential Functions & Responsibilities

 Lead the implementation and integration of new project management software, ensuring

effective adoption across all roles.

 Provide executive-level administrative support, including scheduling, correspondence,meeting preparation, and documentation.

 Enter, track, and maintain accurate data across company systems, ensuring consistency and reliability of information.

 Support HR functions such as employee onboarding, benefits administration, compliance tracking, and maintaining personnel files.

 Assist in developing, implementing, and monitoring company policies, procedures, and

internal communications.

 Coordinate company events, training sessions, and executive meetings.

 Prepare reports, presentations, and other executive-level deliverables for leadership review.

 Liaise between executives, staff, and external stakeholders, maintaining professionalism and confidentiality at all times.

 Monitor project tracking systems, workflows, and schedules to provide updates to leadership.

 Identify opportunities for efficiency improvements within administrative and operational

 Manage project budgets, monitor job costs, and track profitability.

 Develop and maintain annual budgets, forecasts, and cash flow projections.

 Collaborate with project managers and senior leadership to align financial goals with operational objectives.

 Improve financial processes, internal controls, and reporting systems.

 Monitor project costs and financial performance, identifying potential risks and opportunities.

 Stay updated with industry trends and best practices in construction administration and HR.

 Ensure accurate and timely reporting on the financial activities of individual projects.

 Identify opportunities for cost savings without impairing long-term financial health.

 Collaborate effectively with team members to contribute to an exceptional customer experience.

 Perform other duties as assigned to support company leadership and business needs.

Supervisory Responsibilities

This position may have supervisory responsibilities.

Placement Criteria

 Bachelor's degree in Business Administration, Management, or related field preferred but not required.

 3+ years of experience in executive administration, office management, or project coordination; construction industry experience a plus.

 Strong technical aptitude with project management software, Microsoft Office Suite, and adaptability to company-specific systems.

 Knowledge of HR processes, employment policies, and regulatory compliance preferred.

 Excellent organizational, time management, and problem-solving skills.

 Exceptional written and verbal communication abilities, both internal and external.

 Proven ability to handle sensitive information with discretion.

 Strong interpersonal skills with the ability to work effectively across all levels of the organization.

 Ability to prioritize tasks, work independently, and meet deadlines.
