SUMMARY

Operates multi-line telephone system to answer incoming calls and directs callers to appropriate personnel. Greets visitors and clients and provides information and directions. Assists in other administrative responsibilities including correspondence, file maintenance, finance/bookkeeping and other duties as assigned by the management staff by performing the following responsibilities and duties.

 

ESSENTIAL DUTIES

  1. Retrieves messages from voice mail and site email and forwards to appropriate personnel. Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable. Answers questions about organization and provides callers with address, directions, and other information
  2. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. If needed, walks guest to appropriate personnel
  3. Manages facility calendar and staff schedules.
  4. Open mail, date stamp and distribute it to appropriate personnel
  5. Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance. Directs preparation of records such as agendas, notices, minutes and resolutions for corporate meetings and event center commissions. Creates and prints fax cover sheets, memos, correspondence, reports, and other documents as assigned. Create and maintain databases and spreadsheets.
  6. Completes accounting tasks as assigned. Performs other clerical duties as needed, such as filing, photocopying, and collating. Maintains conference room/kitchen and stocks with supplies.
  7. Other duties and responsibilities as assigned
